Planning + Coordinating

 

As your Bespoke Wedding Planner, we will play a crucial role in ensuring that your wedding day or special event is 100% tailored to your specific needs, well-organized, stress-free, and meets your overall vision. Services can begin as early as a year and a half from your wedding date. 

Some of the primary tasks and responsibilities we take on as your Bespoke Wedding Planner will include:

Initial Consultation

  • Meet one on one to understand your preferences, vision, and budget for the wedding/event.
  • Discuss desired theme, style, colors, and any specific details in mind.


Budget Management

  • Help establish a realistic wedding/event budget.
  • Provide guidance on allocating funds to various aspects of the wedding, such as: venue, catering, decor, and entertainment.


Vendor Selection and Coordination

  • Recommend and provide connection with reputable vendors, including photographers, caterers, florists, DJ's, and others, who are willing to provide custom services, to your precise needs.
  • Schedule and attend vendor meetings, negotiate contracts, and ensure all agreements are in place.
  • Coordinate and communicate with vendors to ensure smooth logistics and timely delivery of services.


Venue Selection and Logistics

  • Assist in finding a suitable wedding venue based on preferences and budget.
  • Coordinate site visits and review contracts with the chosen venue.
  • Help plan the layout, seating arrangements, and logistics for the ceremony and reception.


Wedding Design and Decor

  • Offer guidance and creative input on overall design elements, including color schemes, decor, floral arrangements, and lighting.
  • Source and recommend decor rentals and manage the setup and styling of the ceremony and reception spaces.


RSVP Management and Guest Services

  • Assist with the creation and distribution/mailing of invitations.
  • Manage RSVPs and maintain a guest list.
  • Provide guidance on seating arrangements and any special accommodations for guests.


Wedding Timeline and Coordination

  • Develop a comprehensive timeline and schedule for the wedding day.
  • Coordinate with all vendors + bridal party to ensure they are aware of the schedule and their specific roles.
  • Oversee the entire wedding day to ensure everything runs smoothly and according to plan.

 

Wedding Rehearsal

  • Coordinate and oversee the wedding rehearsal, including guiding the wedding party through the ceremony processional and recessional.


Troubleshooting and Crisis Management:

  • Act as a point of contact for any issues or unexpected challenges that may arise.
  • Problem-solve and find solutions efficiently to minimize any disruptions to the bride, groom, and overall wedding day.


Day of Coordination

  • Manage the logistics and oversee the execution of the wedding day, ensuring that all vendors are in place, the timeline is followed, and any last-minute details are addressed.



 As the Day of Wedding Coordinator, we focus primarily on the execution and management of the wedding day itself, typically beginning involvement a few weeks before the wedding day to review plans and final details from our clients and the planning team. Our role as a Day of Wedding Coordinator will be to ensure that all the planned details come together smoothly, allowing the bride, groom, and family members to relax and fully enjoy the celebration. 

Here are the primary responsibilities we will take on as your Day of Wedding Coordinator:

 Wedding Day Logistics

  • Review all the wedding plans and final details provided by the couple and their vendors.
  • Create a detailed timeline and schedule for the wedding day, including the setup, ceremony, reception, and other activities.


Vendor Coordination

  • Contact and communicate with all vendors to confirm their arrival times and specific responsibilities.
  • Provide vendors with the wedding day timeline and ensure they are aware of any special instructions or requirements the day of.


Venue Setup

  • Oversee the setup of the ceremony and reception venues, including decor, seating arrangements, and signage.
  • Ensure that all aspects of the venue are arranged according to the couple's preferences and plan.


Ceremony Management

  • Coordinate the processional and recessional, guiding the wedding party and ensuring everyone is in the right place at the right time.
  • Assist with any necessary cues during the ceremony, such as music transitions or readings.

 

Reception Coordination:

  • Manage the flow of events during the reception, the entrance of the couple, speeches, toasts, first dance, cake cutting, and other formalities.
  • Communicate with the DJ or band to ensure a smooth transition between different segments of the reception.


Troubleshooting and Problem-Solving

  • Be prepared to handle any unexpected situations or issues that may arise during the wedding day.
  • Resolve problems discreetly and efficiently, minimizing any disruptions to the couple and their guests.


Guest Assistance

  • Serve as a point of contact for guests, providing directions, answering questions, and assisting with any special needs or concerns.
  • Manage the guestbook, gift table, and other guest-related elements.


Coordination with Wedding Professionals/Vendors

  • Collaborate and communicate with the couple's chosen wedding professionals, such as photographers, videographers, and caterers, to ensure a seamless and coordinated experience.
